Before the Auditors Arrive: Why Every Fashion Company Needs an ESG & Digital Product Passport War Room

Over the past two years, I've had dozens of conversations with fashion executives about ESG, compliance, traceability, and Digital Product Passports. The conversations usually start the same way. Someone says: "We know we need to do something." Then someone else says: "We have most of the information already." And eventually someone asks the question that matters most: "Does anybody actually know where all the information is?"

That's usually when the room gets very quiet. Because the reality is that most fashion organizations  have a visibility problem.


The Myth of ESG readiness

Many organizations believe ESG readiness is primarily about reporting. Creating reports is relatively easy. The difficult part is finding the data.

Where are supplier certifications stored? Who manages material traceability? Where do environmental metrics live? Can you identify the origin of a specific material? Can you prove chain of custody? Can you demonstrate compliance across multiple suppliers? Can you support a Digital Product Passport?

For many companies, the answers exist. They're simply scattered across spreadsheets, shared drives, email chains, supplier portals, PLM systems, ERP platforms, and the institutional memory of three employees who really should never retire.

Build an ESG war room

Before investing in another compliance platform or launching a DPP initiative, create an ESG and Compliance War Room. Not because regulators are coming tomorrow. Because visibility is becoming a competitive advantage.

Bring together:

Sustainability & ESG Teams

The people closest to reporting requirements.

Compliance Teams

The experts on certifications, audits, and regulations.

Product Development

The team responsible for materials and product information.

Sourcing & Supply Chain

The people who know suppliers, factories, and production networks.

IT & Data Teams

The individuals who understand where data lives.

Executive Leadership

Because eventually someone will need to make decisions.

Start with Sticky Notes

Put every source of ESG-related information on a wall:

  • Supplier certifications

  • Material records

  • Factory audits

  • Chemical compliance

  • Country-of-origin information

  • Environmental reporting

  • Product specifications

  • Recycling and circularity data

Now connect them. This exercise often reveals something surprising: most organizations have more ESG data than they realize. What they don't have is a connected ESG data strategy.

The Digital Product Passport reality check

Digital Product Passports are forcing the industry to confront a difficult question: “Can we tell the complete story of a product?”

The essence of this question is not just where a product it was manufactured. Instead, it’s also about where it originated, what it contains, who touched it, how it was transported, and how it can be repaired, reused, or recycled.

Many organizations discover they can answer parts of those questions. Very few can answer all of them consistently.
